Payroll Specialist
We are looking for a highly motivated and dynamic individual to join our growing Human Resources team. This newly created role will oversee the global payroll process for the United States, United Kingdom, the Netherlands and Australia. This individual will also participate in the selection and implementation of a new HRIS and will lead the implementation of the new international payroll provider. The ideal candidate for this role is highly organized, a strong communicator, and has exceptional attention to detail. We are looking for a customer-service oriented person who is both collaborative and able to work autonomously and efficiently.
Responsiblities
• Process and analyze multi-state U.S. payroll and benefits accurately, timely, and efficiently in compliance with all federal, state, local, and regulatory requirements
• Input and process payroll data for international employee payrolls and liaise with payroll vendors, Finance and HR teams for efficient and timely payroll processing
• Manage employee location, tax elections, deduction and direct deposit changes
• Calculate payroll changes (e.g. new hires, terminations, retroactive adjustments, leave pay)
• Process special payroll requirements such as employee leave pay, bonuses, overtime, taxable reimbursements, garnishments, gross ups, etc.
• Ensure timesheets are complete and approved by employees and their managers
• Track employee payments and data changes, ensure proper support and pay in accordance with contractual terms
• Create and oversee extensive list of payroll auditing reports (e.g. batches, employee changes, pay rate changes, taxes and state allocations), and reconcile identified variances
• Act as single point of contact for payroll-related questions from employees and Finance/HR and resolve individual payroll issues
• Remain current on all payroll related trends, specifically government reporting and changes in federal, state and local tax regulations, ensuring that Capstone stays in compliance for all firm registered states and countries
• Manage other payroll functions (e.g. state registration, W-2/W-2C distribution and filing, P60 reporting)
• Develop and maintain regular reports/metrics and respond to ad-hoc reporting requests
• Deliver instruction/training to employees regarding the use of payroll-related systems and develop user guides
• Liaise with external auditors on annual audits and all other information gathering
• Participate in the planning and implementation of payroll system changes including enhancements, modifications, and upgrades, and assist in the evaluation of service providers to ensure service quality and effective outsourcing relationships
• Recommend the development of new policies and procedures as well as process efficiencies
• Other duties and project as assigned
Qualifications
• Bachelor’s degree with 3+ years of hands-on payroll processing experience in multiple states and international payrolls in a high volume and fast paced environment OR 6+ years of hands-on payroll processing
• Must possess knowledge of payroll taxation concepts and terminology
• Proficient in Microsoft Office (Excel, PowerPoint, Word and Outlook)
• Adaptable to changing requirements
• Strong organizational and project management skills
• Solid research skills and highly inquisitive mindset
• Displays a high level of discretion and maintains confidentiality of all sensitive matters
