Executive Assistant
Responsibilities:
- Providing executive-level support to department heads by managing complex calendars in various time zones, prioritizing inquiries and requests whilst troubleshooting conflicts
- Coordinate extensive domestic and international travel arrangements including flight/ground transportation with an in-house travel agent, and obtaining visas as well as managing any problems that may arise
- Owning monthly expense reporting, ensuring expense reports and documentation are submitted accurately and in a timely manner
- Serving as initial point of contact for all communication initiatives with external vendors and internal teams
- Prepare documents and presentations for meetings, maintaining and filing documents, and coordinating and/or producing sensitive reports and analysis
- Handle all logistical arrangements for hosted meetings including room bookings, A/V, catering and guest registration
- Ad-hoc tasks and projects as requested (unplanned car service/hotel bookings, sending gifts, dinner reservations, lunch, coffee, etc.)
Desirable Candidates:
- Bachelor's degree required
- 1-4 years of experience supporting high energy, senior-level executives
- Positive “can-do” attitude
- Experience in an equally fast paced environment
- Expert in multi-tasking, organizing and prioritizing
- Self-starter, able to work independently and deal with little face time
- High level of reliability and ability to respond to afterhours or weekend requests
- Superior ability to deal with multiple urgent priorities
- Displays a high level of discretion and maintains confidentiality of all sensitive matters
- Strong knowledge of Word, Excel and Outlook
- Public Notary is a plus
BASE SALARY RANGE
$80,000 – $100,000 USD
