Executive Assistant


  • Provide executive-level support to department heads, including coordinating and prioritizing internal and external meetings and calls, managing calendars and liaising with other departments on availability, following up on open items and ensuring smooth day-to-day operations
  • Coordinate domestic and international travel arrangements
  • Manage monthly expense reporting, ensuring expense reports and documentation are submitted timely and accurately
  • Incoming and outgoing correspondence
  • Document printing and scanning, as well as organization of electronic files and coordination of electronic signatures
  • Preparing agendas and documenting meeting minutes
  • Other duties as assigned

Desirable Candidates: 

  • Minimum of 2 years of administrative assistant experience, preferably inside the financial services industry
  • Ability to work in a fast paced and changing environment
  • Excellent attention to detail and organizational skills with the ability to prioritize
  • Strong interpersonal skills
  • Excellent written and verbal communication skills
  • Passion for trying, learning, improving and sharing best practices
  • Proficient in Microsoft Office (Excel, PowerPoint, Word and Outlook) and MS Teams
  • Displays a high level of discretion and maintains confidentiality of all sensitive matters
  • Notary public preferred (or open to obtaining)
  • Adaptable to changing requirements
