Executive Assistant

Responsibilities:

  • Manage schedules and act as primary gatekeeper for 5+ senior executives including resolution of schedule conflicts and schedule prioritization
  • Coordinate meetings including preparing agendas, sending calendar invites, tracking attendance, arranging video conferences and catering
  • Assist with a variety of daily administrative tasks including completing and reconciling expense reports, processing invoices etc.
  • Coordinate complex travel arrangements (both domestic and international)
  • Prepare executive level reports, memos or faxes and compile data into comprehensible format
  • Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary
  • Help keep the senior executives aware of upcoming commitments and responsibilities and follow up appropriately
  • Various ad-hoc projects and tasks as necessary

Desirable Candidates: 

  • Bachelor's degree required
  • 2-5 years of experience supporting multiple executives
  • Expert in multi-tasking, organizing and prioritizing a must
  • Superior ability to deal with multiple urgent priorities
  • Self-starter, able to work independently
  • Displays a high level of discretion and maintains confidentiality of all sensitive matters
  • Strong interpersonal, communication and presentation skills
  • Strong knowledge of Word, Excel and Outlook
