Administrative Assistant

Responsibilities:

  • Provide executive-level support to the Head of Trading including coordinating and prioritizing meetings, managing the calendar and liaising with other departments on availability, following up on open items and ensuring smooth day-to-day operations
  • Manage complex calendars of all business development team members across different time zones
  • Serve as the primary point of contact for high-volume scheduling of interviews which includes gathering availability, sending calendar invites, facilitating logistics and confirming and distributing schedules
  • Provide exceptional client service to candidates and hiring managers throughout the entire recruitment process
  • Utilize Salesforce CRM for interview scheduling and to provide necessary documentation to interviewers
  • Coordinate internal and external meetings and calls including preparing all required materials such as agendas, presentations, handouts, etc.
  • Coordinate domestic and international travel arrangement
  • Manage monthly expense reporting, ensuring expense reports and documentation are submitted timely and accurately
  • Other ad hoc duties

  • Strong interpersonal skills
  • Excellent written and verbal communication skills
  • Passion for trying, learning, improving and sharing best practices
  • Proficient in Microsoft Office (Excel, PowerPoint, Word and Outlook)
  • Displays a high level of discretion and maintains confidentiality of all sensitive matters
  • Salesforce experience is a plus, but not mandatory
