Administrative Assistant to the CEO

Responsibilities:

  • Work side-by-side with the Executive Assistant to attend to all matters regarding the CEO
  • Assist with managing complex calendars in Outlook and coordinate all aspects of executive level appointments, meetings, client entertainment and conference calls
  • Coordinate extensive domestic and international travel arrangements (commercial and private) including flights, car service, dinner reservations, colleague and client meetings, and obtaining visas as well as troubleshooting any problems that may arise
  • Assist with managing the CEO’s family travel arrangements and events
  • Work with the CEO’s household staff to coordinate schedules
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Work with the Executive Assistant to plan appropriate course of action, referral, or response
  • Help manage the CEO’s email inbox in coordination with the Executive Assistant; responding on his behalf where appropriate and highlighting items requiring his response
  • Liaise with Executive Assistant to ensure all board commitments are met including scheduling meetings and preparing necessary materials
  • Assist with a variety of daily administrative tasks including completing and reconciling expense reports, preparing correspondence, preparing documents and presentations for meetings, maintaining and filing documents, and coordinating and/or producing sensitive reports and analyses
  • Work closely with other executives to keep the CEO aware of upcoming commitments and responsibilities and follow up appropriately
  • Provide administrative support to other Executives as needed
  • Other duties and projects as assigned

Desirable Candidates: 

  • Bachelor's degree required
  • 2-4 years of experience supporting high energy, senior-level executives
  • Experience in Financial Services or fast paced environment
  • Expert in multi-tasking, organizing and prioritizing
  • Self-starter, able to work independently and deal with little face time
  • High level of reliability and ability to respond to afterhours or weekend requests
  • Superior ability to deal with multiple urgent priorities
  • Displays a high level of discretion and maintains confidentiality of all sensitive matters
  • Strong knowledge of Word, Excel and OutlookStrong organizational and project management skills
  • Public Notary is a plus
